Integration System for Hiring Manager and Recruiter Information

Creating a Integration System, Field Override Service, and Calculated Fields to surface Hiring Manager and Recruiter Information

  1. Search "Create Integration System" in Workday

  2. Create an Integration System, with a naming convention such as "INT_Hiring_Manager_Recruiter_Info".

    Ensure that the Template is: "Core Connector: Job Requisitions"

  3. Click Okay and navigate to the "Configure Integration Services" section

  4. Click on the three dots, and navigate to Integration System > Configure Integration Attributes.

  5. Under the Version Attribute, apply a version value of "23".

  6. Navigate back to the "Configure Integration Services" section, and create a new row, with the option "Create Integration Field Override Service".

  7. Configure the Field Override Service

    On this page, name the Field Override Service something along the lines of "INT_Merge_HM_Rec_Info"

    The Business Object you'll tie this too is "Job Requisition".

    You'll then create four different fields, one for each critical field. You can name them "Hiring_Manager", "Hiring_Manager_Email, "Recruiter", and "Recruiter_Email".

    Once this is done, you can click "OK" to save!

  8. On the View Integration System Page, navigate to "Configure Integration Field Overrides".

  9. Under the Configuration of Field Overrides, tie following Workday External Fields to the ones created in Step 7.

    • For Hiring_Manager, you can tie this to the "Hiring Manager" field

    • For Recruiter, you can tie this to the "Primary Recruiter" field

    • For Hiring_Manager_Email, you can tie this to something that resembles a "Hiring Manager Email" field

      • If this field does not exist, we will need to create a Calculated Field (which are described in the below steps).

    • For Recruiter Email, you can tie this to something that resembles a "Recruiter Email" field

      • If this field does not exist, we will need to create a Calculated Field (which are described in the below steps).

  10. In the case the Hiring Manager Email and Recruiter Email fields are not available, we will need to create two calculated fields

  11. Type in "Create Calculated Field" in the Workday Search

    You can name the field something along the lines of "Recruiter_Email". The Business Object will be "Job Requisition". The Function will be "Lookup Related Value"

  12. When on this page, the Lookup field will be the same field inputted in Step 9. So in this case, the Lookup Field will be "Primary Recruiter".

    The Return Value will be the email of that recruiter that's tied to its Worker Object. So in this case, it will be "Email - Primary Work".

  13. We will go through the same steps for creating a calculated field for Hiring Manager Email!

    You can name the field something along the lines of "Hiring_Manager_Email". The Business Object will be "Job Requisition". The Function will be "Lookup Related Value"

  14. When on this page, the Lookup field will be "Supervisory Manager". This value will be slightly different than what was listed above. The Return Value will be "Email - Primary Work".

  15. After creating the two calculated fields, please go back to the Specific Integration System, to Integration Field Overrides (Like in #10), and add the two calculated fields for Hiring Manager Email and Recruiter Email

  16. Once this is all done, the last piece is to grab the Integration System ID value of the Integration System created, and send this over to us!
